This is a managed CTData Collaborative environment. All administrative actions are logged and auditable. Follow the policies below when managing users and system settings.
Do not modify system-level settings (virtual folders, storage backends, OIDC configuration, or IP allowlists) without coordinating with WestEd. Unauthorized changes may disrupt the file transfer pipeline or break security controls.
Individual accounts only. Each nonprofit partner staff member must have their own account. Do not create shared or generic accounts.
Restrict upload directories. Assign each user access only to their organization's designated upload folder(s). Do not grant access to other organizations' folders.
Deactivate promptly. When a partner staff member leaves their organization or no longer needs access, deactivate or remove their account immediately.
File type restrictions are enforced. The system only accepts .xlsx and .csv uploads. If a partner reports a "Permission Denied" error, confirm they are uploading a supported file type before investigating further.
Uploaded files contain personally identifiable information (PII) including participant names and student IDs. Handle all data in accordance with FERPA requirements and CTData's data sharing agreements.
Do not download participant data to local machines. All data processing should occur within the Azure Virtual Desktop environment using Alteryx.
Report any suspected unauthorized access, unusual activity, or data incidents to WestEd immediately.
For system issues or configuration changes, contact WestEd at info@ctdata.org.
